Marketing & Graphic Design Coordinator Full-Time

Sotheby’s International Realty Canada is seeking a (Junior) Marketing & Graphic Design Coordinator to join our growing team.

Reporting to the Vice President of Marketing and Managing Broker of Greater Vancouver, and supported by the Creative Manager, the Marketing & Graphic Design Coordinator provides graphic design, production coordination and general marketing communications support to close to 100 Sotheby’s International Realty Canada agents in British Columbia, as well as to the national, head-office team.

Our ideal candidate has 1-2 years of graphic design, production coordination and copyediting/proofreading experience and the ability to deliver high-quality and accurate work while juggling multiple deadlines. Excellent client/customer service skills and strong project management abilities are a must, preferably in a real estate brokerage or agency environment. Most importantly, you are passionate about graphic design and real estate, and are keen to grow with one of the world’s most prestigious brands and the leading real estate sales and marketing company for Canada’s most exceptional properties.


Graphic Design & Production Coordination

·       Design and manage the production of marketing materials for over 100 agents in offices across British Columbia from concept through to pre- & post-production. This involves template-based and custom design of materials including:

o   Print advertisements

o   Property brochures

o   Feature sheets

o   Postcards

o   Email blasts

o   Listing presentations

o   Signage

  • Provide design and layout support for corporate marketing materials where required
  • Ensure accuracy of all proofs and submissions, including proofreading/editing
  • Manage pre- & post-production, ensuring high quality production and timely delivery of all marketing materials
  • Coordinate all print production (in-house and sourcing external suppliers as required)

Co-operative Advertising Graphic Design & Program Coordination

Ensure all co-operative print and magazine ads, are submitted “on-time” and “on-creative”, by providing scheduling, project coordination, graphic design, proofreading and quality assurance support:

  • Actively promote and encourage agent participation in local print co-op advertising programs
  • Communicate and reinforce deadlines/brand requirements to all agents while maintaining the highest level of client service
  • Collect, organize and make quality control edits to all source materials from agents: this includes photos, copy, and mailing lists in XLS or CSV format
  • Negotiate extensions/ad booking changes directly with media as required
  • Ensure accuracy of all print ads- proofread ads against agent booking forms
  • Ensure accuracy of all proofs and submissions, including proofreading/editing
  • File ad booking forms and ensure accurate agent billing

Production Coordination and Printer Maintenance

Ensure high quality production of all print materials through active supplier and printer management:

  • Develop and maintain strong relationships with approved suppliers to support local production needs, including printers, signage producers, photographers and videographers
  • Provide hands-on technical maintenance and support for the in-house printer. This includes ordering paper and toner, troubleshooting technical issues and liaising with suppliers as required

Agent Brand Training, Orientation  & Compliance

Champion the Sotheby’s International Realty Canada brand and marketing program to agents by providing brand orientation, training and support. Ensure the integrity of the Sotheby’s International Realty Canada brand across all agent online and offline marketing materials:

  • Provide agents, managing brokers and office managers with timely answers to questions on corporate marketing initiatives and brand standards
  • Work directly with new and existing agents to ensure brand compliance of their websites and marketing materials
  • Work with agent’s third-party graphic and web designers as required to ensure delivery of brand compliant agent marketing materials
  • Communicate local, national and international Sotheby’s International Realty marketing opportunities to agents and offices
  • Conduct brand orientation sessions with new agents to familiarize them with brand resources, tips, tricks and tools.
  • Orientate agents on our resource area, including, iPad marketing, and XpressDocs, and familiarize them with tips, tricks & tools

National/International Marketing Program Support

·       Support national and international marketing, communications and public relations initiatives as required


  • A minimum of 1-2 years graphic design experience in a fast-paced, client-oriented environment, preferably in an agency or real estate brokerage setting
  • Competency in Adobe Creative Suite 5 or 6, Adobe Photoshop, InDesign
  • Intermediate skill level in MS Excel (including formulas and spreadsheet manipulation), MS Word and MS PowerPoint.
  • Proficiency in HTML (Flash skills an asset)
  • Solid writing, editing and proofreading skills in English
  • Strong project management skills and the ability to juggle multiple priorities calmly and professionally
  • Great communication skills, a passion for client service and the ability to communicate professionally and diplomatically, even in challenging situations
  • Completion of post-secondary certification in graphic design required
  • Chinese typesetting skills an asset
