Kensington Tours requires an Executive / Marketing Assistant who will be responsible for providing administrative support for our Marketing Department, including the development of our charitable initiative, Kensington Cares. This position will also provide an element of Executive Assistance to our CEO, our small, senior executive team and to the Company as a whole. This full-time permanent position will appeal to a well travelled budding marketing professional with an interest in international charitable work.

Responsibilities

Marketing Assistant / Kensington Cares Program Coordination

  • Completing sales-related and marketing administrative tasks as needed that include running marketing and sales reports, managing print projects, conducting research on company and other assignments
  • Assisting in writing and editing sales and marketing materials, which include articles, presentations, white papers, and collateral
  • Assist in the writing and preparation of press releases, companywide communications, newsletters and event announcements
  • Organizing and updating of various internal archives , databases and promotional materials; generating of reports where required
  • Promote internal awareness and volunteer support for Kensington Cares, our charitable initiative, across the enterprise through varying communication methods
  • Research new Kensington Care Projects & partners worldwide and participate in monitoring existing projects
  • Draft and submission of monthly Kensington Cares articles for the Kensington Tours Newsletter
  • Assist with volunteer and staff scheduling, accounting and people management on various projects if applicable

Executive Administration

  • Provide administrative and office management support to members of the executive team, as directed
  • Maintain work schedules and calendars of executive management, particularly the CEO
  • Prepare travel schedules, book travel arrangements and make reservations for executive staff
  • Coordinate logistics of executive team programs including meetings, special projects, and events
  • Manage monthly expense reports and other related duties
  • Assist with the preparation of presentations, proof-reading and editing when required
  • Troubleshoot and/or escalate office administration issues

Other

  • Assist in the preparation and facilitation of the monthly Explorers Club events, on and off site
  • Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons
  • Participation in social committee and planning company events
  • Other duties shall be assigned as required

Requirements

  • Post-Secondary Diploma in Business Administration, Marketing or relevant discipline
  • Demonstrated knowledge of marketing principles
  • Superior writing skills
  • Experienced travel blogger or writer a considerable asset
  • Keen attention to detail, experience with proof-reading and editing/copy writing
  • Superior research, presentation design and reporting abilities
  • 2+ years’ experience in an administrative role, with experience supporting senior executives a considerable asset
  • Strong knowledge of office procedures and practices
  • Excellent knowledge of full office suite including Outlook, Word and Excel, PPT
  • Demonstrated Project Management experience an asset
  • Proven organizational and time management skills
  • Ability to interact and communicate in a polished and professional manner with senior executive management, internal and external stakeholders (verbally and written)
  • Ability, maturity and confidence to travel independently to set up events, pre-scout logistics for expeditions
  • Ability to anticipate needs and work independently with minimal supervision
  • Strong initiative, work ethic and a positive attitude
  • Resourceful and flexible
  • Ability to be discreet and maintain confidentiality
  • Ability to be persuasive, inspire and educate
  • Demonstrated interest and/or experience with travel, sustainable tourism, non-profit and community programs
  • Global travel experience an asset
  • Previous non-profit and community development work experience a considerable asset
  • Ability to work occasional evenings in supporting events, when required
  • An ability to work hard, go with the flow and maintain a sense of humour!
