Position Summary

BCIT’s Student Operations department is currently seeking a regular, full-time Student Communications and Engagement Coordinator. In conjunction with the Manager, leads the marketing and communications plans and strategies in support of the VP Student portfolio. Serves as an internal advisor to VP Students leadership and senior administrative staff regarding communications and student engagement best-practices. Creates, executes and evaluates proactive marketing, communications and general awareness campaigns for services available to current and incoming students in order to enhance or facilitate awareness and use of these services. Liaises with internal and external stakeholders for the coordination of various promotional and communication activities across current and emerging platforms, including print collateral, digital signage, social media, web content. Manages VP Students’ promotional inventory; recommending, selecting, and purchasing a variety of branded items for student giveaways.

Duties & Responsibilities:

  • Identifies the marketing and promotional needs of Student Services and creates strategic communications and marketing approaches to increase student awareness and usership of available services, and to enhance or facilitate growth and development of the VP Students objectives.
  • Develops, implements and evaluates annual communication strategies and promotional materials for Student Services by working collaboratively across departments to actively keep abreast of upcoming impacts to Student Services. Anticipates and identifies topics and communication needs in advance.
  • Engages other departments, administration and other stakeholders to understand the Student Service offerings, student usage and student awareness needs. Builds materials and campaigns to support these needs. Establishes supporting measures to monitor success of these activities and addresses improvements. Provides ongoing monitoring and suggestions for updates/changes to help mitigate issues.
  • Consults, provides input and collaborates across management levels and Marketing and Communications department to develop Student Services communication approaches and responses to both internal and external matters, including reputational, profile management or subjects relating to sensitive or confidential issues.
  • Serves as an internal advisor to the VP Students department’s leadership and senior administrative staff regarding communications best-practices. Supports the preparation and the execution of tactical Student Services communications plans, including change initiatives led by the VPS portfolio.
  • Formulates, edits, proofreads and coordinates a variety of communications pieces to be distributed over a wide variety of channels, both internal and external, including BCIT students, prospective students, faculty, and staff. Works with Marketing and Communications department to ensure Institute and brand alignment.
  • Supports the creation of content for platforms such as the student mobile app, student and employee learning hubs (D2L), and employee intranet (“The Loop”).
  • Creates and coordinates an overall unified content strategy for the Student Services websites in consultation with the VP Students department’s leadership and Web Services.
  • Manages content additions and updates to the Student Services website. Participates in broader cyclical website reviews/refreshes as required
  • Prepares other communications materials for VP Students leadership team including executive briefs, speaking notes, web content, ad copy, annual report content, all staff messages, and editing of content.
  • Acts as a member of the BCIT Emergency Operations Public Information Team (PIO) and helping coordinate the communications with primary stakeholders, one being current students;
  • Works with administrative units, faculties, and stakeholders to clarify client goals, design objectives, determining project timelines and budgets, and developing contingency plans to keep projects on track.
  • Liaises with external departments to coordinate VP Students events and programs as assigned.
  • Researches and recommends technical expertise required for development and/or delivery of communications programs;
  • Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).
  • Undertakes additional and related duties as assigned, consistent with the job grade of this position.

Qualifications:

Education:

  • Bachelor’s in Marketing, Communications or relevant field.
  • Specialized courses in marketing, digital marketing, analytics, CRM, social media, digital advertising, leadership, writing and/or publishing.

Experience:

  • Two years general experience plus five years relevant, practical experience in a similar position, preferably in the public sector or public affairs environment.
  • Experiencing designing, proposing, implementing and evaluating advertising, marketing and/or awareness campaigns, preferably for services
  • Experience with executive communications functions such as preparing briefings, decision notes, and speech writing.
  • Crisis communications or emergency preparedness experience or training preferred

Software/Computer Application(s) and Expertise:

  • Strong computing skills, including fluency in content management systems, presentation and word processing software applications, and task tracking systems.
  • Experience managing social media platforms an asset.
  • Experience with Adobe Creative Suite an asset.

Communication/Interpersonal Skills:

  • Excellent communications skills, both oral and written, demonstrating a superior command of the English language
  • Ability to interview, articulate, and write for a variety of audiences and communication tools
  • Proven editing and proofreading skills at an advanced level
  • A strong grasp of strategy and best practices for internal communications, including experience performing internal communications, change communications, and consultation functions
  • Professional demeanour with a demonstrated ability to use sound judgement, tact, and discretion in dealing with a variety of sensitive and confidential issues
  • Strong interpersonal skills and the ability to function effectively as a member of a team

Salary Range: Pay Grade 9; $57,937 to $62,941 per annum

Additional Salary Information: External hires are initially placed at the minimum of the salary range with progression to the maximum. Salary prorated based on percentage and term of appointment.
