What we are looking for:

We are looking for a key resource in achieving the objectives of our Global Chief Technology and Operations Officer (CTOO), Sebastian Blandizzi, and his leadership team. The successful candidate will have administrative management, business support, and general communications responsibilities as well as being responsible for the day-to-day operations of our Toronto office. This key position requires a proactive, multi-tasking individual with a strong sense of responsibility and initiative. Bound by absolute confidentiality, this trustworthy person will need to understand business needs quickly and adapt to various contexts involving diverse collaborators. Your responsibilities:

  • Provide high-quality administrative and operational support to the Global Chief Technology and Operations Officer and his leadership team;
  • Screen, write and coordinate inbound and outbound communications and act as the primary contact to the CTOO;
  • Act as a trusted support resource and coordinate all activities required to meet the demands of ongoing priorities, including agenda management;
  • Coordinate meetings, write reports, and keep agendas and priorities up to date;
  • Use PowerPoint to build visually appealing presentations, with an artistic flair;
  • Coordinate business travel for leadership team as needed;
  • Contribute to the efficiency of deliverables by coordinating all logistics and by proposing innovative ways to use administrative support technology (SharePoint, Share Drive, collaboration tools, and others);
  • Manage daily operations of the office including supervising a small support staff team (1 Office Lead and 2 Coordinators / Receptionist);
  • With the Office Lead, collaborates closely with the property manager and landlord regarding managing repairs and maintenance, as well as with vendors;
  • Approval of all Toronto office invoices;
  • Act as a culture ambassador and lead culture building initiatives for the Toronto office;
  • Liaise with internal teams such as IT and HR for employee related matters (e.g. onboarding new employees);
  • Perform any other tasks related to the nature of your duties.
