POSITION SUMMARY

The Executive Assistant, Marketing & Logistics is responsible for providing confidential executive level administrative and support services to the SVP, Marketing & Logistics by completing a range of administrative tasks.

POSITION RESPONSIBILITIES

Management of calendar to assist with workload and workflow; ensuring best use of the SVP, Marketing & Logistics’ time.

  • Actively manage and coordinate travel bookings, arrangements, itineraries and schedules during travel.
  • Liaison between Methanex and internal/external stakeholders for scheduling of meetings, events and travel.
  • Preparation of ELT & President’s Remarks reports, presentation materials and general correspondence including email communication.
  • Prepare monthly expenses and assist with budget forecasting and annual preparation for marketing management budget, monitor monthly and flag issues or concerns.
  • Maintain various M&L email Groups.
  • Management of various M&L MIKE pages.
  • Coordinate review of M&L Corporate Controlled Documents as advised or when due for renewal.
  • Ensure the seamless, successful management of events and visits – including CEO visits, customer events, ELT/Board visits, stakeholders’ visits and employees from other regions.
  • Provide confidential administrative and organizational support to others in the Vancouver Office as required.
  • Proactive team member of the Vancouver Administrative Assistants’ team.
  • Provide support to other Executive Assistants and Administrative Assistants when needed.
  • Facilitate positive and effective relationships with employees at other Methanex locations by ensuring timely communication & support as required.

POSITION QUALIFICATIONS

  • Minimum of 5 years of experience in an Executive Assistant role
  • Sound experience in event management, travel and meeting coordination
  • Advanced MS Office application knowledge in Word, Excel, PowerPoint and Access
  • Exceptional interpersonal and communications skills
