The Communications Coordinator contract position serves three purposes; 1) coordinates the intake of print and electronic publication requests 2) provides proofreading/editing and design/layout support and 3) performs administrative duties to support the Marketing Communications team.

Responsibilities:

Coordinates requests:

  • Coordinates the intake of print and electronic publication requests (this includes sales materials, publication pieces, and legal forms)

  • Provides publication inventory management to ensure changes are made to the most current versions

  • Maintains a schedule to ensure requests are on track and delivered on time

  • Liaise regularly with stakeholders to communicate service standards and expected delivery dates

Supports the design and production process:

  • Provides design and layout support to ensure brand consistency

  • Provides proofreading and editing to ensure accuracy and quality of publication materials

Perform administrative duties as required:

  • Assists with print production, re-print requests and the ordering of stationary and business cards

  • Orders and tracks promotional materials (golf balls, shirts, hats) required by the sales teams

  • Provides support on client data queries to ensure mailings are accurate

  • Interacts with external vendors to request quotes for projects

  • Maintains and update a shared file system

  • Performs other administrative duties as required

Required Experience & Skills:

  • University degree in marketing, communications, business with 2 years work experience

  • A good command of Microsoft Office programs (Word, Excel, Project, PowerPoint)

  • An understanding of the principles of design and typography and a working proficiency of Adobe Creative Suite 5.5 (InDesign, Photoshop, Illustrator)

  • Strong organization and coordination skills

  • Ability to multi-task and work under tight deadlines with a strong attention to details

  • Strong written and verbal communications and interpersonal skills (with a professional approach)

  • Self-motivated, demonstrates accountability and ownership, and works with minimal supervision

  • Experience working with external vendors and printers

  • Results driven and a committed team player with potential to grow and take on additional responsibilities over time
