Communication Technology and Administrative Assistant Full-Time

Pacific Community Resources Society requires an Administration and Communications Technology Assistant to work at our head office and provide administrative support to key communications channels for our agency.

Position Summary:

Key tasks will be to provide administrative and user level support to several key communication technology platforms, support the development of communication content, as well as providing reception and administrative support to our head office.

The successful applicant will have excellent customer service, communication, organizational skills, and administrator level experience with web-based platforms.  Excellent computer skills and aptitude are essential, and training will be provided on relevant internal systems.

Communication Assistance

  • Provide administrative level support for:
    1. WordPress website
    2. Telephone systems – land line and cell phones
    3. Sharevision Database – participant database
    4. SAP Jam – internal communications platform
    5. Blackline Safety – Lone Worker Safety App
  • Create and curate content for social media channels
  • Create simple posters and graphics to promote our programs while adhering to established graphics standards
  • Engage staff members on our internal communications platform, SAP Jam
  • Research possible awards and work with Communications Coordinator on applications
  • Source out and order appropriate, sustainable marketing materials

Administrative Support

  • Respond to queries from stakeholders received via phone, face to face, mail and email
  • Maintain existing office procedures, filing systems, and recording procedures according to policy and practice
  • Operate and ensure general care and maintenance of copy and fax machines
  • Keep track of office supplies, requests, and orders
  • Work with cleaning services to make sure that office is well maintained. Responsible for general tidiness of site
  • Coordinate all maintenance requests and direct tickets through Facilities Department
  • Maintain meeting room schedules and assists with meetings as necessary including food and other meeting setup/cleanup
  • Coordinate for Occupational Health and Safety activities at site

Basic Requirements:

  • Criminal Records Check including the vulnerable sector
  • Demonstrated ability to administer and provide support for web-based technology platforms
  • Excellent verbal and written communication skills
  • Proactive and resourceful
  • Excellent organizational skills
  • Proficient in MS Word, Excel, and Outlook

Desired Requirements

  • Knowledge of social media platforms and WordPress, and coding is an asset
  • Experience working with non-profit or community organizations
  • Standard First Aid and CPR
  • Second language is an asset
