Reporting to the Manager of Sport Hosting, the Sport Hosting Coordinator will build relationships with local, regional & provincial sport and tourism organizations to support sport event initiatives throughout the City of Richmond. Since the acquisition and successful execution of sport hosting events (as defined by the Manager, Sport Hosting), are essential components of the role, the successful candidate must have extensive experience in Sales & Marketing, and demonstrate strong initiative, communication and presentation skills. The Sport Hosting Coordinator must have a valid BC Driver’s Licence and access to a car, as the position may require him/her to attend meetings throughout the Lower Mainland. Richmond Sport Hosting is a City of Richmond program and is operated from the Richmond Olympic Oval.

A day in the life of the Sport Hosting Coordinator includes,

  • Oversee marketing and communications plan including social media, website content (content development and maintenance of the sport hosting website to promote sport events within Richmond) and press releases
  • Maintain relationships with local and provincial sport organizations
  • Prepare bid books and deliver bid presentations to sport event decision makers
  • Cultivate relationships at sales events, trade shows and conventions
  • Maintain a library of content for use in the development of bids and presentations
  • Develop relationships with event hosting agencies, sport organizations and sport stakeholders
  • Maintain database of statistics regarding event bids and hosted events via Simpleview CRM
  • Work closely with the Manager, Sport Hosting in the planning, coordination, and evaluation of strategic alliances, sponsorship relationships and partnerships
  • Liaise with third party contractors and organizers; advise and provide onsite assistance with the operations, logistics, and organization of events all across the City of Richmond
  • Facilitate the distribution of logistical communication on upcoming events, setups, deliveries and pickups to all internal partners so they have the necessary information required to perform their roles
  • Implement internal administrative policies, procedures and processes. Where applicable, create and send contractual agreements and follow-up on payment and processing of same
  • Coordinate site visits by tourism industry, event organizers and other delegations

The qualifications and skills you bring to this role include,

  • Post-secondary education in Sport or Recreation Administration, Marketing, Communications, Business Administration, Public Relations, Tourism Management or related field
  • 2+ years of progressive experience in sales, marketing, sponsorship, sport event management, or tourism
  • Developed interpersonal skills, presentation skills, communications skills (verbal/written) and the ability to work effectively with a wide range of internal and external contacts
  • Demonstrated successful experience writing reports, funding proposals, hosting and organizing events
  • An understanding of the regional, provincial sport and related agencies and their connections with local sport programs
  • A working knowledge of the inter-relationship between tourism and sport
  • Excellent interpersonal skills
  • Great attention to detail
  • Strong organization, conflict resolution and project management skills
  • Ability to work independently with minimum supervision
  • Willingness to work some evenings and weekends
  • Computer literate – internet savvy and ability to learn new tools/systems quickly (i.e. website content maintenance, PerfectMind Systems, etc.)
  • Intermediate to advanced skill level in Microsoft Office applications (i.e. Excel, Word, PowerPoint, Outlook)
  • Valid BC Driver’s Licence and a clean driving record
  • Must be able to successfully complete a criminal record check.
