Sotheby’s International Realty Canada is seeking an experienced, organized Marketing & Graphic Design Coordinator to join our rapidly growing Greater Toronto Area team.

Reporting to the Managing Brokers and Graphics & Production Manager of Ontario, the Marketing & Listings Coordinatorprovides graphic design, production coordination, and general marketing communications support to over 100 agents in Sotheby’s International Realty Canada, Toronto, Ontario office managers, as well as the National Head Office.

Our ideal candidate has 2-3 years in graphic design and production coordination, stellar project management experience, and the ability to deliver high-quality and accurate work while juggling multiple deadlines. Excellent client/customer service skills and strong project management abilities are a must, preferably in a real estate brokerage or agency environment. Most importantly, you are passionate about graphic design and real estate and are keen to grow with one of the world’s most prestigious brands and the leading real estate sales and marketing company for Canada’s most exceptional properties.

RESPONSIBILITIES

Graphic Design & Production Coordination

· Design and manage the production of marketing materials for over 100 agents in offices across Ontario from concept through to pre- & post-production. This involves template-based and custom design of materials including:

o Print advertisements

o Property brochures

o Feature sheets

o Postcards

o Email blasts

o Listing presentations

o Signage

  • Provide design and layout support for corporate marketing materials where required
  • Ensure accuracy of all proofs and submissions, including proofreading/editing
  • Manage pre- & post-production, ensuring high quality production and timely delivery of all marketing materials
  • Coordinate all print production (in-house and sourcing external suppliers as required)

Co-operative Advertising Graphic Design & Program Coordination

Ensure all co-operative print and magazine ads, are submitted “on-time” and “on-creative”, by providing scheduling, project coordination, graphic design, proofreading and quality assurance support:

  • Actively promote and encourage agent participation in local print co-op advertising programs
  • Communicate and reinforce deadlines/brand requirements to all agents while maintaining the highest level of client service
  • Collect, organize and make quality control edits to all source materials from agents: this includes photos, copy, and mailing lists in XLS or CSV format
  • Negotiate extensions/ad booking changes directly with media as required
  • Ensure accuracy of all print ads- proofread ads against agent booking forms
  • Ensure accuracy of all proofs and submissions, including proofreading/editing
  • File ad booking forms and ensure accurate agent billing

Agent Brand & Marketing Technology Training

Champion the Sotheby’s International Realty Canada brand and marketing program to agents by providing brand and marketing technology orientation, training and support.

  • Provide agents, managing brokers and office managers with timely answers to questions on corporate marketing initiatives, brand standards and marketing technology
  • Work directly with new and existing agents and agents’ third-party graphic and web designers to ensure brand compliance of their websites and marketing materials
  • Communicate local, national and international Sotheby’s International Realty marketing opportunities to agents and offices
  • Conduct brand orientation training to familiarize agents with brand resources and exclusive marketing technology

Production and Supplier Management

With support from the Marketing and Graphics Manager for Ontario, identify Sotheby’s International Realty Canada -approved suppliers to support local marketing needs and ensure their approval through Sotheby’s International Realty Affiliates, including:

o Business cards/stationery/collateral

o Signage/hoarding producers

o Photographers

o Videographers

  • Ensure quality and cost effectiveness of all suppliers
  • Ensure optimal utilization of members.sothebysrealty.com and Xpress Docs where appropriate
  • Order and track signage, riders and other marketing materials for agents and the office as required

National/International Marketing Program Support

· Support national and international marketing, communications and public relations initiatives as required

REQUIRED SKILLS/EXPERIENCE

  • A minimum of 2-3 years graphic design experience in a fast-paced, client-oriented environment, preferably in an agency or real estate brokerage setting
  • Competency in Adobe Creative Suite 5 or 6, Adobe Photoshop, InDesign
  • Intermediate skill level in MS Excel (including formulas and spreadsheet manipulation), MS Word and MS PowerPoint.
  • Proficiency in HTML (Flash skills an asset)
  • Solid writing, editing and proofreading skills in English
  • Strong project management skills and the ability to juggle multiple priorities calmly and professionally
  • Great communication skills, a passion for client service and the ability to communicate professionally and diplomatically, even in challenging situations
  • Completion of post-secondary certification in graphic design required
  • Chinese typesetting skills an asset
