Calgary Co-op is seeking a creative and organized individual to fill the position of Marketing and Member Relations Assistant for our Marketing and Member Relations team. The Marketing and Member Relations Assistant will report directly to the Vice President, Marketing and Member Relations Division, and will be responsible to provide professional and confidential administratvie support to the Managers and Vice President, Marketing and Member Relations team.

KEY RESPONSIBILITES:

  1. Receive all vendor invoices for MMR department. Code and have invoices signed, then provide to Accounting for payment. Track all invoices and connect with the vendor contact for any inquiries on payment questions..

  2. Review all donation requests and provide completed forms to Foundation Director for review. Once request is approved, arrange donation for organization. Update master donation log with all Foundation donation requests and monthly centre donations. Provide donation and sponsorship information to organizations and individuals upon request. Provide donation information to Accounting for tracking.

  3. Compose and distribute weekly all employee e-mails to promote the four day sale and advertised specials at Co-op Wine Spirits Beer.

  4. Respond to member feedback by phone and email. Input all member feedback request in monthly spreadsheets. Respond to centre inquiries by telephone and email and provide guidance to employees on programs and processes.

  5. Add, edit and remove website content as needed, including the uploading of weekly advertisements.

  6. Provide administrative support for the entire MMR department, including correspondence, meeting agendas and minutes, handling mail, answering telephones and directing calls and inquiries, setting up and maintaining files, event administration including ordering materials and equipment, as approved by the Vice President or Managers.

  7. Order department stationary, forms, supplies, and maintain a current filing system.

  8. Provide administrative support for various committees and meetings (e.g. MMR management committees), prepare and distribute pre-meeting information, agendas and projects as approved by the Manager and/or Vice Prresident, record meeting proceedings, prepare and distribute action items, and other duties.

  9. Assist in planning, preparing for, onsite co-ordination and implementation of offsite meetings and events, e.g. Annual General Meeting, Stuff A Bus, Stampede Breakfasts, Charity Golf Classic, and Senior Day, etc.

  10. Provide back up support for the Executive Assistant and Operations Assistants.

  11. Provide leadership in the areas of Occuational Health and Safety (OH&S) including participate in OH&S activities, ensuring employees are knowledgeable about and comply with OH&S policies.

  12. Perform other duties as assigned.

Minimum Qualifications:

  • Proficient with Microsoft Office
  • Three to five years of related administration experience

  • Exceptional verbal and wirtten communication skills

  • Attention to detail and accuracy

  • Strong organizational and time management skills

Desirable Qualifications:

  • Post-secondary education in related field

  • Team player that thrives in an environment that is fast paced

  • Experience in providing customer service and dealing with the public

  • Ability to work independently under minimal supervision
