Investor Relations Administrator - One Year Contract

Vermilion has an excellent opportunity for an Investor Relations Administrator.  Based in Calgary, this position will report to the Director, Investor Relations.  The administrator plays a key role in delivering strong administrative support and to serve as the front-line communications contact for investors and potential investors.  The main priorities for this role are to execute all IR administrative functions, including preparation and filing of press releases, preparation of presentation material, financial reporting, preparation of budgets and processing of invoices.  Please note this is a one year contract.

Key Responsibilities

  • Handle incoming and outgoing correspondence; filing; generating documents on request
  • Presentation updates / changing slides (text, charts, updating graphics “maps”), editing, fixing.
  • Scheduling and organizing of some external corporate communications events (i.e. AGM and Investor Day)
  • Coordination of marketing roadshows and conferences (organizing schedules, preparing itineraries, preparing presentation for printers, organizing couriers, liaise with Corporate Access Teams from institutions, etc.)
  • Maintain roadshow calendar of events and schedules
  • Formatting of interim quarterly reports, annual information form and annual report (IFRS Cognos to Word)
  • Coordinating all annual material with printers (Annual Report, FS & MD&A, Proxies, etc.)
  • Distributing news releases, quarterly reports, annual report, etc.
  • Coordinate Sedar and EDGAR regulatory filings and sending appropriate PDF documents to legal
  • Administer investor relations expenses for budget preparation and maintain and record all invoice expenditures in IR
  • Prepare Director of IR’s expenses for approval, copy then to accounting for payment
  • Create / update and maintain PowerPoint presentation that runs on LCD TV in reception
  • Handle incoming investor related queries (phone calls and emails) when possible
  • Prepare and distribute investor packages, keeping materials current and in supply
  • Assist other departments with PowerPoint presentations
  • Organize and maintain photography of executives and senior managers for updating website and other related publications
  • Prepare and propose yearly dates for consideration for board meetings and quarterly news releases
  • Update all calendars with regards to dividend payment dates
  • Update blackout schedule
  • Update relevant pages on our intranet (VETNET), linking all conference URL webcasts & or audio casts, creating graphics if necessary
  • TSX Secure File and NYSE EGOV filing (Form 5 / Dividend Declarations) – complete forms and file on behalf of CO.
  • TSX Secure File (Form 3 – change in officer / director) – complete form and file on behalf of Vermilion
  • Conversion of images for Admin (via Photoshop into JPG’s or other if required)
  • Record all investor meetings in IPREO database and source investor profiles to integrate with marketing schedules

Websites (VETNET and External)

  • Maintaining website (monitoring content to ensure information is up-to-date, redesign of some pages, updating pages on a quarterly basis where applicable), uploading hedge sheet in hedging section, uploading corporate presentation, updating and uploading corporate profile under Events and Presentations, ensuring data on that page is accurate / linking URL’s with conferences
  • Creating images and adding events to VETNET – URL’s to webcasts

Designing Aspect

  • Design & create mastheads for interim reports and corporate profile
  • Design & create PowerPoint backgrounds and company’s PowerPoint template for the year (based on Annual Report design)
  • Design miscellaneous advertisements for various magazines and calendars when needed

First Year Deliverables

  • Preparation for quarterly reporting
  • Dividend press releases and filings
  • Annual reporting/filing requirements including the AGM

Essential Experience & Skills

  • A minimum of five to ten years progressive experience
  • Previous exposure to Investor Relations and the investment community
  • Experience working with senior leaders and executives
  • Ability to communicate effectively, confidentially and professionally in a rapidly changing business environment
  • Strong team player with the ability to build relationships and work constructively with others to achieve business goals

  • IBM Cognos
  • IPREO (BigDough) Software
  • Website Content Management System (via Media Dog)
  • Powervision (Invoice Coding)
  • Adobe Photoshop, Adobe Illustrator and Adobe Acrobat
