Rising Tide Consultants brings 35 years of liquor license consulting experience and more recently cannabis licensing experience. Rising Tide offers beverage service operations and cannabis and liquor manufacturers, wholesalers and retailers full service from securing locations, to set up and through the complexities of licencing, to employee recruiting and human resource management.

This well established and respected company is seeking an Office Manager/Executive Assistant

The candidate will be

A mature and experienced person who is capable of performing their responsibilities with limited supervision. The person should be detail oriented, organized and able to work with a small, closely knit group of professionals. The candidate must be able to to work in an environment where priorities can shift suddenly. Excellent time management skills are required. A warm and friendly telephone and personal approach is an asset. The successful applicant will be interacting with clients, suppliers and government officials of all levels. Excellent English language proficiency  both written and spoken is required.  Social media experience is an asset. Knowledge of Microsoft office programs is required. Familiarity with Zoho and QBO is an asset, however, training will be offered if needed.

Demonstrated ability to investigate and research information and undertake research projects

Strong ability to work within deadlines and manage timelines

Familiarity with Zoho (CRM system), and/or ability to learn a CRM system would be an asset

Excellent customer service and communication skills

Dictation and transcription skills would be an asset

Able to manage a filing system

Able to attend meetings with clients and government officials. Able to attend hospitality industry events as a representative of the company, if required.

Able to learn quickly and adapt to changing priorities

The duties include

Responsible for invoicing (generates invoices)and posting payments; addressing accounts receivable inquires from clients; process payments to outstanding invoices and accounts. This will include processing credit card payments. This will be done working closely with the company bookkeeper and accountant.

Prepare Accounts related correspondence and reports.

Update Zoho accounting system templates for documents and emails.

Respond to telephone and e mail enquiries from clients and greet visitors to the office

Keep filing, both electronic and paper, up to date in easily retrievable formats

Maintain the President’s calendar to assure he is fully prepared and informed for upcoming events and meetings

Provide support to the President and coworkers in preparing documents

Maintain a BF system for the President

Maintain the President’s personal and business spending records on a confidential basis.

Monitor industry event calendars for events the President may be interested in attending

Take notes at meetings and follow up on action plans. This may include meetings held out of the office. Occasional travel may be required.

Create file status reports on a regular basis and when required

Assure office equipment and supplies are maintained in good order. This may include shopping for supplies or arranging for delivery and working with various vendors for supplies from time to time.

Occasional shopping for gifts at the President’s request. This may include purchasing gifts for clients and events and some personal shopping for the President.

Research charitable and philanthropic organization to assure the Company’s charitable giving is good value

Develop good working relationships with employees of companies and organizations Rising Tide works with on a regular basis.

Make travel arrangements on request.

Make meeting arrangements and issue invitations.

Monitor Social Media Accounts and make appropriate responses to posts

Draft letters and other documents for the President and coworkers.

Other related duties as required

Conditions of employment

The successful applicant will be required to sign a confidentiality agreement and

must be able to maintain confidentiality regarding all sensitive matters.

This  is an office based position. Working from home will be an option only on a very occasional basis.

The employer offers a competitive salary in the $55,000 range as well as fully paid medical and dental benefits, annual  bonus and a parking allowance if required.  A company cell phone is provided as this is not always a 9 to 5 position.

The employer provides 4 weeks vacation annually. The office is closed on all statutory holidays and BC Government holidays such as Easter Monday and Boxing Day.
